Planning Assistant – Boston Redevelopment Authority, Boston, MA

SUMMARY

Under the dual direction of Citywide Planning and Community Planning, provide administrative support to both groups.

GENERAL DUTIES AND RESPONSIBILITIES

The general duties and responsibilities of the position are included in but not limited to the information listed below.

The primary responsibility will be to support the Citywide Plan and Planning Departments with typing, editing, proofreading and producing correspondence, memoranda, reports, technical documents, and other materials, using word processing and spreadsheet software. Draft letters for supervisor’s signature. Distribute and forward approved materials. Maintain meeting calendar. Manage the set up and coordination of monthly staff meetings, special presentations, speaker series and other special events at the agency. Schedule additional internal and external meetings for Department staff, as requested. Coordinate set-up, preparation and distribution of materials, and other logistical arrangements for internal and external meetings. Take meeting minutes as assigned. Manage Citywide Planning and Planning Department’s record keeping systems. Create and maintain system for Department’s library of information. Collect and verify data; enter into systems as appropriate. Establish, maintain, and update files, both electronic and paper. Locate and retrieve materials. Maintain cross-indexing systems, as appropriate. Purge electronic files and reports periodically. Develop an active knowledge of ongoing projects so as to best serve the Department. Participate in planning efforts, meeting research, community events and coordination efforts. Ensure the provision of high-quality customer service, at all levels, with the public and within the Department, Planning Division, agency-at-large and other City Departments. Cultivate and maintain effective working relationships with staff, other departments and constituents. Greet and direct visitors. Process and forward approved purchase requisitions. Sort and screen incoming mail; process outgoing mail. Receive and direct express mail and other deliveries. Send and receive faxes. Maintain general office supplies, and manage printer and fax machines for Department. Manage special projects as assigned by the Executive Director of Citywide Plan and Deputy Director for
Community Planning. Perform other related duties as required.

QUALIFICATIONS

Work requires completion of a Bachelor’s Degree plus 1-3 years of comparable work experience. An interest in pursuing an advanced degree in the field of Planning, Urban Design or related fields are highly desirable. Must have exceptional organizational skills and be comfortable handling several tasks at once. Requires excellent oral and written communication skills; strong interpersonal skills; research skills; and, familiarity with office management. Requires proficiency with Microsoft Office Programs, including but not limited to: PowerPoint, Word, and Excel. Familiarity with scheduling or scheduling software is preferred.

WORK ENVIRONMENT

Normal office environment.

PHYSICAL ENVIRONMENT

Little or no exertion; may spend extended periods at keyboard carrying and installing presentation material such as easels and presentation boards. Must have ability to attend occasional evening meetings with staff to take minutes.
